Relay is a shared inbox. To do its job it has to read, store and send email on your behalf. This page explains what that means in practice. It is written to be read, not skimmed, and it is short on purpose.
What we collect
Three things. The mail in the inboxes you connect (messages, attachments, sender and recipient addresses). The account details of the people on your team (name, email, the time zone they picked). And usage data about how Relay itself is used: which pages load, how long they take, and errors, so we can fix what breaks.
We don’t buy data about you or your customers, and we don’t add tracking from advertising networks to the app or to this website.
Why we collect it
To run the service you signed up for: showing mail to your team, sending replies, keeping notes and assignments, calculating reply times. To bill you. To answer your support requests. To keep the service reliable and secure.
We don’t use the contents of your mail to train anything or to build profiles.
Where it lives
Mail and account data are stored on servers in the European Union, encrypted at rest. In transit, everything goes over TLS. Business plan customers can ask for data to be stored in a different region.
Who can see it
People on your team, according to the roles you set. A small number of Relay staff, when you ask for help and give access, or when an incident requires it. Access is logged. Service providers who host the servers and send transactional email act only on our instructions.
We don’t sell data. We don’t share it with advertisers. We hand it over to authorities only when the law obliges us to, and we tell you when we are allowed to.
How long we keep it
As long as your account is active. When you cancel, the inbox goes read-only and your data stays for 30 days so you can export it. After that it is deleted, including backups, within 60 days.
Your choices
- Export everything (mail, notes, assignments) from the workspace settings, any time.
- Disconnect an inbox. Relay stops reading new mail immediately.
- Delete a team member. Their notes stay, attributed to a deactivated account.
- Delete the whole workspace. This starts the 30-day clock described above.
Changes to this page
If we change something that matters, you get an email from us before it takes effect. The date at the top always tells you when the page was last edited.
Questions
Use the help menu inside Relay. It reaches a person on the team, usually within a working day.
